Payroll System Transition Across Three Manufacturing Businesses

MANUFACTURING · PAYROLL SYSTEM TRANSITION · FOUNDER'S EXPERIENCE

6 months · Approximately 2,500 employees · 3 manufacturing businesses · 30 system users

The Challenge

Elektrokontakt, a manufacturer of cable systems for the automotive industry, needed to transition from the payroll subsystem in 1C UTP to the dedicated 1C Payroll and Personnel Management system.

The new solution needed to support personnel and payroll accounting while preserving the required connections to the existing accounting environment and time and attendance records.

Scale and Complexity

The project covered three manufacturing businesses employing approximately 2,500 people in total, with 30 system users.

Numerous combinations of personnel circumstances, benefits and regulatory requirements called for subject-matter expertise. The principal risk was inaccurate payroll calculations and their potential financial and legal consequences.

Role and Accountability

The founder of PASSAGE BUREAU independently secured the client engagement, won the tender, signed the contract, assembled the team and provided architectural and project leadership through to completion of the transition.

Delivery Approach

Subject-Matter Expertise and On-Site Involvement

The work began with a three-day assessment on site, conducted by a team of three specialists with different areas of expertise.

Scheduled site visits continued throughout delivery. A separate four-day site visit was organized for production go-live.

Joint Validation of Results

The client's responsible finance and accounting specialists took an active role in validation. The team cross-checked aggregate accounting figures.

These checks helped assess consistency and identify discrepancies, but do not constitute an absolute guarantee that every individual calculation is correct.

Migration and Integrations

The work included preparing and migrating accounting data and opening balances, defining user access rights, and organizing the new system's interaction with the existing accounting system and time and attendance records.

The transition was treated as a change to a business-critical accounting process within an interconnected systems environment.

Outcome

The transition to the dedicated personnel and payroll accounting system was completed over six months.

The engagement covered the relevant accounting scope across three manufacturing businesses while preserving the required connections to the existing accounting environment.
